A wedding in Niagara rarely happens in one building. The couple gets ready in a Fallsview suite, the ceremony is at a garden or a winery, photos happen by the river, dinner is somewhere else, and ninety guests have to get home afterwards without anybody driving. Wedding planner transportation in Niagara is mostly logistics, and that is the part NiagaraFallsLimo.net does for planners: we take your timeline and guest list, build the vehicle plan, brief each chauffeur, and keep the reservations desk on the phone line you call when the photographer runs twenty minutes long.
The same approach works for corporate events, conferences, milestone birthdays and family reunions. This page is written for the planner, not the couple; couples will find their version on the wedding limo page.
How do wedding planners book guest transportation with NiagaraFallsLimo.net?
Planners book NiagaraFallsLimo.net through the online booker for single cars or send the timeline and guest manifest to the 24/7 reservations desk for multi-vehicle days. Typical Niagara runs are short, for example Fallsview hotels to Niagara-on-the-Lake wineries about 20–25 km (25–30 minutes), and every vehicle has a fixed fare quoted first.
For a one-car booking, the booker is quickest: the couple's car from the hotel to the ceremony and on to the reception, "By the hour" or multi-stop. For anything with shuttles, staggered pickups or more than two vehicles, send us the plan and we will price it vehicle by vehicle so you can show the client exactly what each line covers.
What we need from the planner
- The timeline. Ceremony, photos, cocktail hour, dinner, last dance, plus the time each group must be somewhere.
- Addresses for every stop. Hotels by street number, the venue's actual entrance (estate wineries often have a separate events lane), photo locations.
- The guest manifest. Names, which hotel, any mobility needs, who travels with children, who must be first or last.
- Who is the day-of contact. Usually the planner or an assistant, not the couple.
- Hard deadlines. A venue that ends service at a fixed hour, a ceremony site with a booked slot.
Send it in any format. A spreadsheet export from your planning software is fine.
Building the vehicle plan
The plan is a matching exercise between people, bags, timing and the vehicles that actually exist. These are the classes we book, all "or similar", with the model confirmed at booking:

- Couple's car: Rolls-Royce or Mercedes-Maybach (up to 2 passengers; availability confirmed at booking), a Mercedes-Benz E / S-Class (up to 2), or a Stretch Limousine (up to 8) if the couple wants to ride with the wedding party.
- Wedding party: Stretch Limousine (up to 8), Stretch SUV Limousine (up to 16; availability confirmed at booking), or an Executive Sprinter (up to 12).
- Guest shuttles: Executive Sprinters (up to 12 each, carry-on only, which is ideal when nobody has luggage) or coaches for larger groups on request.
- Family and elderly guests: Standard SUV or Executive Black SUV (up to 6), with child seats or the wheelchair option added in the booker.
- After-party: Party Bus (up to 12; availability confirmed at booking). There is no drinking on board; more on that below.
See the full fleet and our stretch limo and Sprinter page for photos and limits.
Shuttle loops beat one big vehicle. Ninety guests from two hotels to one winery is usually best handled by three or four Sprinters running two loops each, rather than one coach that leaves half the guests waiting at the second hotel.
The run sheet
Every chauffeur on a multi-vehicle day gets a run sheet. It lists their vehicle, each pickup and drop-off by address and time, the passengers they carry, the planner's mobile number, and any notes from you: which door, where to stage while the ceremony runs, who must not be seated next to whom if you tell us. You get a copy of the whole plan, every vehicle on one page.
On the day, our desk watches the timeline with you. If the ceremony starts late, tell the desk once; we adjust every car that depends on it.
Niagara venues and the distances between them
Niagara weddings spread across a compact area, which is good news for timelines.
- Fallsview hotels to Niagara-on-the-Lake: about 20–25 km (15 mi), 25–30 minutes on the Niagara Parkway or the QEW. The Niagara Falls to Niagara-on-the-Lake route shows both.
- Fallsview to the Twenty Valley and the Beamsville Bench: about 35–45 km, usually 30–40 minutes on the QEW. See Twenty Valley and Beamsville Bench.
- Niagara Parks ceremony sites: Niagara Parks lists ceremony locations including the Queenston chapel, the Butterfly Conservatory, Dufferin Islands, Willow Pond, Oakes Garden, Rambler's Rest and Mather Arch on its weddings page. Most sit along the Parkway within 15 minutes of the Falls hotels.
- Winery estates: many Niagara wineries host weddings; Wine Country Ontario lists them by area. Check each estate's rules for where vehicles may stop and wait.
We don't have partnerships with any venue, and we won't claim one. We simply drive to them often.
Corporate events, conferences and incentive groups
Planners running business events have different pressure points: a keynote that cannot start late, delegates arriving over a whole day, and a client who wants one invoice.
- Airport arrivals across the day from Toronto Pearson (about 120–130 km, usually 1 h 20 – 1 h 40 off-peak) and Buffalo Niagara (about 40–45 km plus the border), tracked by flight. See the airport transfers hub.
- Venue shuttles between hotels and the Niagara Falls Convention Centre at 6815 Stanley Avenue, which advertises 200,000 sq ft of event space.
- Evening programmes such as a winery dinner, the Falls illumination, or a Fallsview Casino show, each with a timed return.
- Executive cars for speakers and VIPs, with discreet chauffeurs and NDAs on request.
Our corporations page covers accounts and invoicing for companies that book directly.
No drinking on board, and how to plan around it
This is the question planners ask most, so here is the straight answer: there is no drinking in our vehicles. Niagara Region's vehicle-for-hire by-law (2021-58, s. 43(9)) forbids a driver to permit consumption of alcohol in the vehicle, and Ontario's Liquor Licence and Control Act, 2019 (s. 42) has no limousine exception. That covers the couple's car, the wedding-party limousine and the party bus alike.
What works instead:
- Plan the toast at the venue, the hotel suite or the photo location, not in transit.
- Add a sealed bottle in the booker as a gift for the couple to take away; it stays sealed in the vehicle.
- Use the chauffeur for what they are for: nobody drives after the reception.
Couples sometimes expect a bar in the limousine because they have seen it elsewhere. A line in your planning notes early on saves an awkward moment at the curb.
Guests crossing the border
Niagara weddings often draw guests from both countries, and some itineraries include a rehearsal dinner or a brunch on the New York side. Cross-border trips are normal service; the chauffeur crosses the bridge with the guests. Every passenger must carry their own valid documents, and no one can promise how long a crossing will take, so never schedule a US-side event tight against a Canadian one. Send international guests to the international visitors guide and the border wait times page, and see cross-border car service for how we run these days.
Comparing how guests could get there
| Option | Door-to-door time | Cost note | Luggage | Best for |
|---|---|---|---|---|
| Rideshare apps | drive time plus a wait for each car | surge pricing after the reception | car size varies | a few guests leaving early |
| Taxis | drive time plus waiting for cars to arrive at a rural venue | metered | standard trunk | short in-town hops |
| WEGO and regional buses | fixed routes, limited evening service at wineries | published fares | none | daytime sightseeing, not weddings |
| Guests drive themselves | drive time plus parking at the venue | fuel and parking; someone stays sober | trunk | small, local, dry weddings |
| Hotel or venue shuttle | depends on the provider | varies | varies | venues that run their own |
| Pre-booked chauffeured shuttles | drive time, loops timed to your schedule | fixed fare via booker or quoted per vehicle | sized to the group | weddings, galas, conferences, winery venues |
Taxis and rideshare work in Niagara Falls itself for a guest going a few blocks. They become unreliable at a winery estate late on a Saturday night, when dozens of guests want a ride at the same moment and the venue is a long way from the nearest car. That is where pre-booked shuttles win: no surge, no one waiting at a dark gate, car seats already fitted for families, and the same chauffeur who dropped guests off waiting to take them back. Our chauffeur vs taxi vs rideshare guide sets out the comparison for guests who ask.
Who it suits
- Individuals: the officiant, the photographer, the grandmother who should not be in a shuttle; a single car each.
- Couples: the couple's own car for the day, timed to the photographer rather than the clock.
- Families: SUVs with child seats for families with young children, booked from the hotel.
- Groups: wedding parties, delegates and reunion guests on timed shuttle loops. See groups.
How to book this in 3 steps
- Map the day. Enter each pickup and drop-off (hotel, ceremony site, winery, reception) with times, or send the timeline to the desk for multi-vehicle days.
- Pick the vehicles. Each class shows its fixed fare; for shuttle plans we price vehicle by vehicle.
- Confirm the details. Passenger names, child seats, wheelchair needs, the day-of contact and your client reference; pay securely and the confirmation arrives by email.

Deadlines, deposits and changes
The standard policy, counted from the scheduled pickup: more than 72 hours' notice, no charge; 72 hours or less, 10%; 48 hours or less, 50%; 24 hours or less or a no-show, 100%. Proms, long weekends and big weddings may carry a different deadline printed on the confirmation, so read it before you sign off the client's budget.

Guests who also need flights or hotel rooms can use our travel desk, run with our partner BookingWorldwide.net. For other trade services, see business.
Frequently asked questions
Can you supply a run sheet for each vehicle?
Yes. Every chauffeur on a multi-vehicle day gets a run sheet with addresses, times, passengers and your notes, and you get the full plan on one page. Changes on the day go through the desk, which updates every affected car.
How many guests fit in one Sprinter?
An Executive Sprinter carries up to 12 passengers with carry-on bags only. For guests with luggage, such as airport arrivals, plan SUVs (up to 6 passengers and 6 bags) or coaches on request.
Can the wedding party have a toast in the limousine?
No. There is no drinking in our vehicles under Niagara Region's by-law, and Ontario law has no limousine exception. Plan the toast at the venue or the suite. A sealed bottle can be added in the booker as a gift to take away.
How far are Niagara-on-the-Lake wineries from the Fallsview hotels?
About 20–25 km (15 mi), usually 25–30 minutes. Twenty Valley and Beamsville Bench wineries are farther west, about 35–45 km and 30–40 minutes on the QEW.
Do you work with wedding venues directly?
We take instructions from the planner or the couple and follow each venue's rules for stopping and staging. We do not have partnerships with venues, and we don't take bookings from venues on a couple's behalf without the couple's or planner's say-so.
What is the cancellation policy for wedding transportation?
Counted from scheduled pickup: more than 72 hours' notice no charge, 72 hours or less 10%, 48 hours or less 50%, 24 hours or less or no-show 100%. Big weddings may carry a different deadline printed on the confirmation.
Can guests be taken across to the US side for a rehearsal dinner?
Yes. The chauffeur crosses with them. Every passenger must carry their own valid documents, and we cannot promise crossing times, so leave generous gaps between Canadian and American events.
Do you offer commission or trade rates to planners?
Trade terms on request through the reservations desk. We do not publish rates or commission figures; ask the desk and the terms come to you in writing.
