Trade Show Exhibitor Shuttles Between Fallsview Hotels and the Convention Centre

The freight goes in through the loading dock with your service contractor. Your people have to get there too, at 6 am on move-in day and again after teardown, with tools, sample cases and a booth manager who has been on her feet since dawn.

The Niagara Falls Convention Centre at 6815 Stanley Avenue sits directly behind the Fallsview hotel towers, close enough that on a dry show day most exhibitors simply walk. Yet exhibitor teams keep asking for shuttles, and with good reason. The people who need a ride are not the ones strolling over at 10 am; they are the installation crew arriving before sunrise, the staff booked into a hotel on Lundy's Lane, the sales lead collecting a buyer from Pearson, and everyone heading back at 11 pm after the booth comes down.

This guide from NiagaraFallsLimo.net is for exhibit managers, event planners and corporate travel coordinators planning ground transport around a trade show in Niagara Falls. It separates what moves by freight from what moves by car, explains how to run a booth-staff loop on a "By the hour" booking, and is frank about when walking is the better answer.

Know what you are moving: freight is not a shuttle job

Before planning any vehicles, get the freight question settled, because it shapes everything else.

The convention centre's exhibitor information page is clear on the rules. Shipments are accepted only on your contracted move-in and setup date, and freight must arrive through your official service contractor or freight carrier. The loading dock is on the west side of the building, with entrances from Stanley Avenue and Dunn Street. Exhibitors must tell the centre how many docks they need for load-in and load-out 30 days before the event, and there is no on-site warehousing for early shipments.

So crates, booth walls, flooring and anything palletised go by freight. What moves by car is people, and what people carry: laptops, tool bags, product samples in rolling cases, banners in tubes, and the box of brochures that never arrived with the freight. Our vehicles carry those comfortably, as long as you plan by bag space. An Executive Sprinter seats up to 12 with carry-on bags only; an SUV carries up to 6 passengers and 6 bags.

Do exhibitors need a shuttle between the Fallsview hotels and the convention centre?

Often not on show days: most Fallsview hotels are about 1 km from the Niagara Falls Convention Centre on Stanley Avenue, a 2 – 5 minute drive. NiagaraFallsLimo.net loops make sense for pre-dawn move-in, late move-out, staff at Falls Avenue or Lundy's Lane hotels, and bad weather. The booker shows a fixed fare first.

The centre itself describes its location as being close to more than 4,000 branded guest rooms. Most exhibitors will be in one of them; the question is which.

It also helps to know the size of the floor your staff will be crossing. The centre's rooms and spaces page lists Exhibit Halls A, B and C, each with a 30-foot ceiling and room for about 150 booths, and the three combined as about 81,140 sq. ft. with room for 400 or more booths and a drive-in loading dock. On a full-hall show, a booth at the far end can be a long walk from the entrance, so build a few extra minutes into each shift change.

The three days that matter

A trade show is really three different transport problems.

Move-in day. Installers often want to be at the dock as early as the contract allows. At that hour in late autumn or winter, walking from a hotel on Falls Avenue (about 2 km, roughly 5 minutes by car) or Lundy's Lane (about 4 km, under 10 minutes by car) with tool bags is unpleasant. A Sprinter or two SUVs collecting the crew from each hotel at a fixed time gets everyone to the building together, which is what the install supervisor wants.

Show days. Booth staff are on shift patterns: an opening team, a lunch relief, a closing team. From the towers on Fallsview Boulevard, walking is genuinely easiest when the weather is fine. A loop earns its place in rain, snow, extreme heat, for staff in formal shoes or with mobility limits, and for staff at the farther hotels.

Move-out day. Teardown usually runs late and ends with tired people, personal items and leftover samples. This is the trip most worth booking in advance. Nobody wants to be looking for a ride on Stanley Avenue at 11 pm while every other exhibitor is doing the same.

Our Fallsview hotels page and Clifton Hill and Lundy's Lane hotels page give arrival notes for the main properties.

Price a booth-staff loop for move-in day

Designing a booth-staff loop

A loop is a vehicle booked "By the hour" that circulates on a schedule you set between your hotels and the convention centre. It is your company's vehicle for those hours, not a public shuttle, and it carries your people only.

How to set one up:

  1. List the hotels your staff are in, with the exact entrance where they will wait. Large properties have several doors.
  2. Choose fixed departure times, such as on the hour and half past from the first hotel, then the second, then the centre. Staff remember a timetable; they do not remember "whenever".
  3. Name the drop point at the convention centre. For people, use the main public entrance rather than the loading dock, which belongs to freight on move-in and move-out days.
  4. Choose the vehicle by the biggest wave. An Executive Sprinter seats 12; if your opening shift is 18 people with rolling cases, two Sprinters or a Sprinter plus an SUV work better than overloading one.
  5. Give one coordinator the plan. The coordinator holds the timetable, the passenger list and the chauffeur's details, and is the only person who changes the loop.

Our hourly chauffeur page explains the hourly mode, and our Sprinter and stretch limousine page describes the larger vehicles. For conventions aimed at the public rather than the trade, the journal post on convention weekends at the venue is more relevant.

Getting exhibitors and buyers to Niagara

Most exhibitor teams fly into Toronto Pearson or Buffalo Niagara International, and the arrival leg is often the most valuable ride of the week.

  • Toronto Pearson to the convention centre is about 122 km (76 mi), usually 1 h 30 – 1 h 45 off-peak; allow 2 h or more on a weekday afternoon or a summer Friday. Toronto Pearson's pre-arranged services page lists the pre-arranged pickup points at Terminal 1 Door A and Terminal 3 Door A; meet and greet inside arrivals is a booker option.
  • Buffalo Niagara to the convention centre is about 43 km (27 mi), usually 45 minutes before the border crossing, which cannot be predicted. Each passenger must carry their own valid documents.
  • Key buyers and VIP clients deserve their own car rather than a seat in the crew van. A Mercedes-Benz E or S-Class or an Executive Black SUV, with meet and greet, is the usual choice.

Our Pearson airport page has terminal details. Sales teams entertaining clients in the evening should remember there is no drinking in our vehicles; the dinner is where the toast happens.

The honest verdict. If your team is staying in the Fallsview towers and the weather is fine, walking to the convention centre is quicker than any vehicle, and we will tell you so. A taxi or a rideshare is perfectly fine for one person heading out mid-afternoon. A booked loop wins at the edges of the show: the pre-dawn install, the late teardown when everyone leaves at once, staff in farther hotels, winter weather, colleagues with mobility needs, and clients you want to look after properly. Our chauffeur vs taxi vs rideshare guide explains the wider trade-offs.

Booking it with NiagaraFallsLimo.net in 3 steps

  1. Enter the hotel and the convention centre. For a loop, choose "By the hour", set the start time and list the stops in the notes. For an airport run, add the flight number.
  2. Choose the vehicle. Each class shows its fixed fare. Size the loop for your largest shift.
  3. Add passengers, bags and extras, then pay. Note rolling cases and tubes, add meet and greet for VIP arrivals, pay securely, and forward the email confirmation to your coordinator. Start on the booker.

If the show schedule shifts, cancellations are charged against each scheduled pickup: free beyond 72 hours, then 10% (72 hours or less), 50% (48 hours or less) and 100% (24 hours or less, or a no-show).

Reserve your exhibitor transport

Who this suits

Individuals, such as a sales director flying in for one day, get a car from the airport to the booth and back. Couples attending as a two-person exhibitor team can share a sedan. Families rarely feature, though exhibitors who bring family for a weekend at the Falls can add child seats. Groups of installers and booth staff are the main case: one Sprinter for up to 12, or a mixed fleet for larger teams. Planners running the whole event should see our event planners page and corporations page, and the journal post on ground transport for delegates at the convention centre covers attendees rather than exhibitors. Organisers of healthcare meetings will find the post on medical and pharma conference ground plans useful.

Frequently asked questions

How far is the Niagara Falls Convention Centre from the Fallsview hotels?

About 1 km or less from most of the towers on Fallsview Boulevard, a 2 to 5 minute drive. The centre is at 6815 Stanley Avenue, directly behind the hotel district. Falls Avenue hotels are about 2 km away and Lundy's Lane hotels about 4 km, each under 10 minutes by car.

Is the Niagara Falls Convention Centre the same as the Scotiabank Convention Centre?

Yes. The building was known as the Scotiabank Convention Centre until Scotiabank's naming rights ended at the end of 2021, and it has since been called the Niagara Falls Convention Centre. The address, 6815 Stanley Avenue, is the same.

Can your vehicles carry our booth freight?

No. The convention centre accepts freight only through your official service contractor or freight carrier on your contracted move-in date, at the loading dock on the west side of the building. Our vehicles carry people and personal items such as laptops, tool bags, rolling sample cases and banner tubes.

Is this a public shuttle that other exhibitors can ride?

No. A loop booked with us is your vehicle for the hours you book, carrying your staff only, on the timetable you set. Several exhibitors could share one only by agreeing it among themselves and booking it as one company.

What vehicle works best for a booth team of 10?

An Executive Sprinter seats up to 12 with carry-on bags, which suits most booth teams. If several people have large rolling cases, add an SUV, which carries 6 passengers and 6 bags. Size the loop for your biggest shift change, not your average one.

Can we book a car for a VIP buyer separate from the staff loop?

Yes. Book a separate trip in a sedan, Mercedes-Benz E or S-Class or an Executive Black SUV, with meet and greet if the buyer is arriving by air. The VIP's car then runs to their schedule, independent of the staff timetable.

When should we book transport for move-out night?

As soon as the show schedule is final. Move-out night is when every exhibitor leaves at once, and taxis and rideshares can be hard to find. Booking ahead means your team has a confirmed vehicle at a set time.
