A concierge in Niagara gets the same three questions every afternoon: how do I get to the airport tomorrow, how do we do the wineries without driving, and can we see the American side. Hotel concierge transportation in Niagara is easier to arrange when one desk answers all three. NiagaraFallsLimo.net works with hotel concierges, guest-services managers and front-desk teams who book on their guests' behalf, directly with our reservations desk, at any hour.
What follows is how that relationship runs: house accounts, guest-billed and room-billed bookings, pickups at your entrance, departure-day timing, and the small Niagara details that make a concierge look good at the desk.
How does a hotel concierge book a car with NiagaraFallsLimo.net?
A concierge books NiagaraFallsLimo.net directly in the online booker or through the 24/7 reservations desk. Enter the hotel as pickup and the destination, for example Toronto Pearson about 120–130 km away (usually 1 h 20 – 1 h 40), pick a vehicle, show the guest the fixed fare, and add the guest's name and flight.
Nothing about this needs a contract. A hotel can book its first car tonight and open a house account later, once the desk has a feel for what the hotel's guests usually need. Trade terms on request through the reservations desk.
What a house account looks like
A house account is a hotel file on our side. It records:
- the hotel's exact pickup point (main entrance, tower entrance, valet lane, side door for VIP arrivals)
- who at the hotel may book and who receives confirmations
- whether guests pay us directly or the hotel pays and posts the charge to the guest folio
- standing preferences, such as a name board with the hotel's name, a vehicle class for suite guests, or child seats held for family packages
- the reference format your accounting team wants on invoices
Hotels that pay and re-bill get an invoice carrying the guest name, the date, the trip and your folio or reference number. Hotels that prefer to stay out of the payment entirely build the booking and let the guest pay in the booker. Either way, the fare is fixed before the guest says yes.
Pickups at your entrance, not at a rank
Every one of our trips is pre-booked. The chauffeur arrives for a named guest at a set time; the chauffeur does not wait at the taxi rank or circle the driveway looking for fares. That matters to hotels for two reasons. Your doormen know which car belongs to which guest, and the curb stays clear.

Tell us how your property works. A few patterns we see across the region:
- Fallsview Boulevard towers. The Hilton Niagara Falls/Fallsview Hotel & Suites (6361 Fallsview Blvd), the Niagara Falls Marriott Fallsview Hotel & Spa (6740), the Hyatt Regency Niagara Falls Fallsview (6700, formerly Embassy Suites) and the Wyndham Grand Fallsview Hotel (6455) sit close together. A street number in the booking prevents the wrong-door phone call. Our Fallsview hotels guide covers the strip.
- Falls Avenue Resort. The Sheraton Fallsview Hotel (5875 Falls Avenue) and The Brock Niagara Falls-Fallsview, Tapestry Collection by Hilton (5685 Falls Avenue, formerly the Crowne Plaza) share a resort complex beside Clifton Hill. Name the hotel and the entrance.
- Old Town Niagara-on-the-Lake. Inns such as the Prince of Wales (6 Picton Street), Queen's Landing (155 Byron Street) and Pillar and Post (48 John Street West) sit on narrow heritage streets; a Sedan or SUV suits them better than a stretch limousine. See Niagara-on-the-Lake inns.
- Resort hotels off the tourist strip. Great Wolf Lodge at 3950 Victoria Avenue sees family departures with car seats, strollers and a lot of luggage.
None of these hotels has a partnership with us unless it tells you so; we simply know the driveways.
Departure day: timing guests to the airport
Departure is the trip a concierge gets blamed for, so we time it with some slack.
To Toronto Pearson (YYZ)
About 120–130 km (75–80 mi) from the Fallsview hotels, usually 1 h 20 – 1 h 40 off-peak on the QEW; allow 2 hours or more on a summer Friday or a holiday Monday heading into Toronto. Add the airline's own check-in advice on top. Details on the Toronto Pearson transfer page.
To Buffalo Niagara (BUF)
About 40–45 km (26 mi), roughly 45 minutes of driving, plus a border crossing whose length nobody can forecast. Guests must carry their own valid documents, and the chauffeur crosses with them. Buffalo Niagara International publishes its own Canadian ground transportation information for travellers. Our Buffalo airport page and the border wait times guide explain how to plan around the bridge.
To Hamilton (YHM) and Billy Bishop (YTZ)
Hamilton is about 90 km (56 mi), usually under 1 h 30. Billy Bishop in downtown Toronto is about 125–130 km and a ferry or tunnel walk from the mainland pavilion; the chauffeur drops at the curb there.
A late checkout and an early-evening flight is the most common mismatch. If a guest is leaving at 4 p.m. on a Friday in July for a 7 p.m. departure from Pearson, suggest leaving earlier; the QEW toward Toronto fills up.
Arrivals you can arrange before the guest lands
Concierges also book inbound cars for VIPs and pre-arrival requests. Flight tracking is on every airport pickup, so a delay does not cost the guest a ride. Meet & greet inside arrivals with a name board is a booker option; at Toronto Pearson, pre-arranged pickups use Terminal 1 Door A and Terminal 3 Door A. Add the guest's room-block name in the notes and we will greet them with it if you prefer.
For guests arriving by private aircraft, the private jet and FBO transfers page lists how ramp-side meets work.
The day trips guests ask the desk for
Wineries without a designated driver
Niagara-on-the-Lake is 20–25 km (about 15 mi) north of the Falls along the Niagara Parkway. A chauffeured wine day means nobody drives after tastings; there is no drinking in our vehicles, and a guest who buys bottles carries them sealed. Point guests to the Niagara wine tour limo service and the one-day wine tour itinerary.
Theatre in Niagara-on-the-Lake
The Shaw Festival runs its 2026 season to December 23, with holiday productions from early November. A drop at the theatre and a timed return after the curtain is a simple booking that saves guests the parking hunt on Queen Street.
The American side
Niagara Falls State Park, the Maid of the Mist and Cave of the Winds are across the Rainbow Bridge. The chauffeur crosses with the guests and waits or returns as booked; see cross-border car service.
Evenings around the Falls
The Falls are illuminated every night of the year, and the Winter Festival of Lights runs from November 14, 2026 to January 10, 2027. Guests who want an hour of driving past the displays without parking can book "By the hour". See the Falls night tour.
Comparing the options you can offer a guest
| Option | Door-to-door time | Cost note | Luggage | Best for |
|---|---|---|---|---|
| Rideshare app | drive time plus wait for a match | surge pricing at busy times | depends on the car sent | a short solo trip in town |
| Hotel taxi rank | drive time plus queue | metered | standard trunk | a quick hop to a restaurant |
| WEGO bus | stops along a fixed route | published day pass (WEGO adult 24-hour $16.00 as of 2026) | none to speak of | sightseeing along the river |
| GO train or coach to Toronto | 1 h 30 or more plus getting to the station | published fare | what the guest can carry | budget guests heading downtown |
| Guest drives | drive time plus parking | fuel, parking, 407 ETR if used | trunk | guests with their own car |
| Private chauffeur | drive time only | fixed fare via booker, quoted before you book | sized to the bags | airport runs, wine days, border days, families, groups |
A good concierge does not oversell. For a ten-minute ride to a Clifton Hill restaurant, a taxi from your rank is fine. For a single guest going to Union Station with one bag in daylight, the GO train is a sensible suggestion. A pre-booked chauffeur is the better answer when the guest has a flight to make, children who need car seats, a pile of luggage, a group, a winery day or a border crossing, or simply wants to know exactly who is picking them up. No surge, no queue, and the vehicle is confirmed at booking. The chauffeur vs taxi vs rideshare guide is written for guests if you want something to share.

- Couples: anniversary stays, proposals and theatre nights. Our couples page has ideas.
- Families: car seats in the booker, room for strollers, and no one squeezing into a sedan.

How to book this in 3 steps
- Start with your hotel. Pickup is your entrance; add the destination, date, time and any flight or train number.
- Choose the class. The booker shows the fixed fare for each vehicle, so you can quote the guest on the spot.
- Finish the booking. Guest name, passengers, bags, car seats, meet & greet and your folio reference; pay securely or let the guest pay, and the confirmation arrives by email.
The how to book a limo guide walks a new team member through the screens.
Changes and cancellations
Guests change plans, so here is the policy in plain words, counted from the scheduled pickup: more than 72 hours' notice, no charge; 72 hours or less, 10%; 48 hours or less, 50%; 24 hours or less or a no-show, 100%. Proms, long weekends and big weddings may carry a different deadline printed on the confirmation.
If a guest's flight changes, update the booking or have the guest call the 24/7 desk. Flight times are tracked, so a delay on arrival adjusts automatically.
For more on the business side, see business services and our corporations page. Guests who also need flights, rooms or activities elsewhere can use our travel desk, run with our partner BookingWorldwide.net.
Frequently asked questions
Do hotels earn a commission on bookings?
Trade terms on request through the reservations desk. We don't publish commission rates, and nothing here is an offer of one. Ask when you open a house account and the terms come to you in writing.
Can the charge go on the guest's room?
Yes, if the hotel pays us and posts the charge to the folio. Otherwise the guest pays in the booker directly. Your invoice can carry the folio or reference number you specify.
How early should a guest leave the Fallsview hotels for Pearson?
The drive is about 120–130 km, usually 1 h 20 – 1 h 40 off-peak. Add the airline's check-in advice and allow extra on summer Fridays and holiday Mondays, when the QEW toward Toronto is slow.
Is there a free shuttle from Niagara Falls hotels to the airport?
If your hotel runs its own shuttle, that is worth offering first. For a private door-to-door trip, the booker shows the fixed fare for the exact pickup, drop-off and vehicle before the guest pays.
Can a guest go to Buffalo airport from a Canadian hotel?
Yes. It is about 40–45 km plus a border crossing. The chauffeur crosses with the guest, and every passenger must carry their own valid documents. We never promise how long the bridge will take.
Can guests have a drink in the car after a winery visit?
No. There is no drinking in our vehicles; Niagara Region's by-law forbids it in vehicles for hire. A sealed bottle can be added in the booker as a gift to take away.
Can you meet a VIP inside the airport?
Yes. Meet & greet inside arrivals with a name board is a booker option, and the flight is tracked. Chauffeurs are discreet and NDAs are available on request.
Do you wait at the hotel for walk-up fares?
No. Every trip is pre-booked for a named guest, so the chauffeur arrives for one booking and leaves with that guest. If a guest wants a car now, the concierge books it and we confirm what is available.
