Hotels · attractions · airports · bridges

Door-to-door chauffeured cars between every Fallsview and Clifton Hill hotel, the wineries of Niagara-on-the-Lake, all four Niagara border bridges, Toronto Pearson, Buffalo Niagara, Hamilton and Billy Bishop airports, and the attractions on both sides of the river.

Travel agent limo booking for Niagara works best when the agent deals with the people who actually dispatch the cars. NiagaraFallsLimo.net takes bookings from travel agencies, tour designers and destination planners directly: you reserve the transfer, the wine day or the cross-border sightseeing run on your client's behalf, we send the confirmation to you (and to the traveller if you want), and the chauffeur meets them under the name you gave us. No call centre in another country, no reseller chain between your client and the car.

It sits within our business travel and trade services, and explains how agency bookings run in practice: accounts, booking on behalf of guests, group manifests, invoices, VIP notes, and the Niagara details your clients will ask about before they fly.

How do travel agencies book Niagara transfers with NiagaraFallsLimo.net?

Travel agencies book NiagaraFallsLimo.net direct through the online booker or the 24/7 reservations desk. Enter the client's pickup (for example Toronto Pearson, about 120 km and usually 1 h 20 – 1 h 40 from Niagara Falls), choose a vehicle, see the fixed fare, and add the client's name and flight. Trade terms are available on request.

An agency booking is the same booking any traveller makes, with three differences: the booker name and the passenger name are not the same person, the confirmation can be copied to more than one inbox, and the desk keeps notes about your agency so that repeat bookings carry the same preferences. If you send the same style of client every month, the desk learns it.

What an agency account gives you

An account is not a contract and it does not commit you to volume. It is a file at our reservations desk with your agency's details, so you are not retyping them every time.

  • One booker, many travellers. You book under the agency; each trip carries the traveller's own name, mobile number and flight or train details.
  • Copy settings. Confirmations to the agent only, to the traveller only, or both. Some agencies want the client to hear from us directly the day before; others prefer every message to pass through them.
  • Standing preferences. Name-board style (surname only, agency logo, family name), preferred vehicle class, child seats as standard for family files, quiet-ride requests.
  • Your booking reference on our paperwork. Put your file number in the notes and it appears on the confirmation and the invoice.
  • Trade terms. Trade terms on request through the reservations desk. We do not publish them here, and nothing on this page should be read as a commission rate.

Booking on behalf of a client: what the desk needs

The fixed fare is set by the pickup, the drop-off, the date and the vehicle. Everything else is there so the right chauffeur finds the right person at the right door.

Person planning a journey with a map, passport, and travel essentials on a wooden table.
  1. Full name as it should appear on the name board. Long or hyphenated names: tell us the version the client will recognise.
  2. Mobile number that works in Canada. Visitors from overseas often switch phones off on landing. A WhatsApp-capable number or an email the client checks is the fallback.
  3. Flight or train number. We track airport arrivals and train arrivals, so a delayed flight does not leave your client stranded or the chauffeur gone. See how Toronto Pearson pickups and Buffalo Niagara pickups work.
  4. Passengers, bags and anything awkward. Golf bags, a folded wheelchair, a stroller, ski bags in January. Bag counts decide the vehicle more often than headcount does.
  5. Meet & greet or kerbside. Meet & greet inside arrivals with a name board is a booker option. For first-time visitors from abroad it is the one extra most agents add.
  6. Exact drop-off. A hotel name is usually enough, but Falls Avenue and Fallsview Boulevard each have several hotels side by side; a street address avoids any doubt.

If your client changes flights, you change the booking, or the client calls the desk directly. Either works; tell us which you prefer and we will route messages accordingly.

Group manifests and multi-car files

Agencies moving a family reunion, an incentive group or a wedding party usually send a manifest. Send it in whatever format your system exports; a spreadsheet with these columns saves the most time:

  • passenger name and mobile
  • arrival flight, date and scheduled time
  • airport and terminal (Toronto Pearson's Terminal 1 and Terminal 3 each have a pre-arranged pickup door)
  • hotel and room-block name
  • bags, car seats, mobility needs
  • which passengers travel together

We then propose a vehicle plan. Twelve people landing within forty minutes of each other can ride one Executive Sprinter (up to 12, carry-on only), but twelve people with checked bags need a different answer, often two Standard SUVs (up to 6 passengers and 6 bags each) or an SUV plus a Sprinter. Larger groups can move by coach on request. Our group transportation page covers the vehicle mix in more detail, and the fleet page lists every class with passenger and bag limits.

Staggered arrivals are where group files go wrong. If arrivals spread over three hours, two or three smaller vehicles almost always beat one large vehicle waiting at the airport for the last flight.

Invoices, references and how payment works

Every trip has a fixed all-in fare shown by the booker before payment. For agencies there are two common patterns:

  • Agency pays. You book and pay with the agency card; the invoice carries your file reference and the traveller's name, not the traveller's card details.
  • Client pays. You build the booking, and the client completes payment. Useful when you are packaging a hotel and want the client to see ground transport as a separate line.

For files with many transfers, ask the desk to group them under one reference so they land on your accounting as one job. Ask about trade terms at the same time.

VIP notes and quiet arrivals

Some clients do not want to be recognised, and some want everything recognised. The notes field handles both.

  • Name board with a code word or the agency name instead of the guest's surname.
  • Chauffeurs are discreet; NDAs on request.
  • Specific vehicle class, for example a Mercedes-Maybach or Rolls-Royce (up to 2 passengers each; availability confirmed at booking), or an Executive Black SUV when the client travels with a security lead.
  • We are not a security company. A VIP security add-on exists in the booker, and our chauffeurs work alongside a client's own team.
  • Private aviation: see private jet and FBO transfers for ramp-side and terminal pickups.

The Niagara trips agents sell most

These are the building blocks we see in agency itineraries, with the distances your clients will ask about.

Airport to hotel

Toronto Pearson (YYZ) to Niagara Falls, Ontario is about 120–130 km (75–80 mi), usually 1 h 20 – 1 h 40 off-peak on the QEW (Queen Elizabeth Way, the main Toronto–Niagara highway); allow 2 hours or more on a summer Friday afternoon. Buffalo Niagara International (BUF) is about 40–45 km (26 mi), roughly 45 minutes of driving plus the border. Hamilton (YHM) is about 90 km (56 mi), usually under 1 h 30. The airport transfers hub covers each airport.

Wine country day

A private wine day in Niagara-on-the-Lake starts 20–25 km (about 15 mi) from the Falls hotels. The chauffeur drives so nobody drives after tastings; there is no drinking in our vehicles. Pair it with the Niagara wine tour limo page and the Niagara-on-the-Lake wineries guide when you write the client's day sheet.

Private sightseeing and day tours

For clients staying in Toronto, the Toronto to Niagara Falls day tour is the usual booking: about 130 km each way from downtown, with stops chosen in advance or on the day. Clients already in Niagara often book a private Niagara Falls tour by the hour.

Both sides of the border

Many overseas clients want the American side too: Niagara Falls State Park, Goat Island, the Maid of the Mist. The chauffeur crosses the bridge with them. The documents are the client's responsibility, which is where the agent's briefing matters most.

Briefing cross-border clients before they travel

Never promise a crossing time; nobody can. What you can do is make sure every passenger arrives at the bridge with the right papers. Every passenger must carry their own valid documents.

  • US-bound: the US land border uses the documents listed on CBP's Western Hemisphere Travel Initiative page. Visa Waiver travellers need an approved ESTA before reaching a US land border, and an I-94 at a land crossing carries a fee (US$30 as of 2026).
  • Canada-bound: CBSA lists acceptable identification on its travel documents page. Visa-required nationals still need a visitor visa by land.
  • Children: any child under 19 travelling without both parents should carry a consent letter, according to Global Affairs Canada.
  • NEXUS: the NEXUS-only Whirlpool Rapids Bridge works only if every person in the car, chauffeur included, holds a card. Most chauffeured crossings use the Rainbow or Lewiston-Queenston bridges.

Send clients to our documents for entering the USA page and the international visitors guide; both are written for travellers, not lawyers. For the service itself, see cross-border car service.

Be honest with clients about the lower-cost options. A solo backpacker going from Union Station to the Falls in daylight is well served by the GO train or a FlixBus coach. The 407 ETR, a toll highway north of Toronto, bills by licence plate, which surprises rental drivers weeks later. A pre-booked chauffeur earns its place when the file has car seats, more than two checked bags, a late-night landing, a border crossing, a winery day, a wedding, or a client who has never been to Canada and wants one known driver waiting with their name. There is no surge, no waiting at a rank, and the vehicle class is confirmed at booking. Our chauffeur vs taxi vs rideshare guide sets this out for travellers.

Who agency bookings suit

  • Individuals: business travellers and solo visitors who want the pickup arranged before they leave home.
  • Couples: honeymoons, anniversaries and proposal trips, where the agent wants the arrival to feel planned. See Niagara Falls for couples.
  • Families: child, toddler and booster seats are booker options, so the seats are in the car when it arrives.
  • Groups: reunions, incentive trips and clubs, moved on one manifest and one invoice.

How to book this in 3 steps

  1. Enter the trip. Pickup and drop-off (terminal, hotel, winery, bridge or any address), date and time, plus the client's flight or train number.
  2. Pick the vehicle. Each class shows its fixed fare for that exact trip.
  3. Add the details and pay. Passengers, bags, child seats, meet & greet, the client's name and your file reference; pay securely and the confirmation arrives by email.

Our how to book a limo guide walks through the same steps with screenshots of the choices.

Flights, hotels and activities: the travel desk

Some agents send us the ground piece only. Others ask for more. Our travel desk works with our partner BookingWorldwide.net for flights, hotels and activities, so a smaller agency or a client building a trip alone can put the whole Niagara stay together in one place.

Changes, cancellations and delays

The cancellation policy is counted from the scheduled pickup: more than 72 hours' notice, no charge; 72 hours or less, 10%; 48 hours or less, 50%; 24 hours or less or a no-show, 100%. Proms, long weekends and big weddings may carry a different deadline printed on the confirmation.

Flight delays are tracked on airport pickups, so the chauffeur adjusts to the actual landing. If the client misses a connection and lands at a different airport, call the desk; that is a new pickup, and we will tell you before anything changes.

Frequently asked questions

Do you pay commission to travel agents?

Trade terms on request through the reservations desk. We do not publish commission figures, and this page is not an offer of one. Ask the desk when you open an agency account and you will get the terms in writing.

Can I book a transfer for a client who has never spoken to you?

Yes. Most agency bookings work exactly that way. You enter the client's name, mobile number and flight, and choose whether the confirmation goes to you, to the client, or to both. The chauffeur meets the client under that name.

How far is Toronto Pearson from Niagara Falls?

About 120–130 km (75–80 mi). Off-peak it usually takes 1 h 20 – 1 h 40 on the QEW; on a summer Friday afternoon allow 2 hours or more. The booker shows the fixed fare for the exact pickup, drop-off and vehicle before you pay.

Is it better for clients to fly into Toronto or Buffalo for Niagara Falls?

Buffalo Niagara International is closer, about 40–45 km, but adds a border crossing, so documents matter. Toronto Pearson has more international flights and keeps the client in Canada. For overseas clients without US entry papers, Toronto is usually simpler.

Can one invoice cover a whole group?

Yes. Ask the desk to group every transfer for the file under your reference. The invoice lists each trip, the traveller names and your file number, so it reconciles against your booking system without guesswork.

What happens if my client's flight is delayed?

We track the flight, so the pickup moves with the actual arrival time. If the flight is cancelled or the client is rebooked into a different airport, change the booking or ask the client to call the 24/7 desk.

Can clients drink on the way back from a wine tour?

No. There is no drinking in our vehicles. Niagara Region's vehicle-for-hire by-law forbids drivers to permit alcohol consumption in the vehicle, and Ontario law has no limousine exception. The chauffeur drives, so nobody has to after tastings.

Do you take clients across to the American side?

Yes. Cross-border trips are normal service and the chauffeur crosses the bridge with the client. Every passenger must carry their own valid documents. We cannot predict crossing times, so build slack into any timed booking on the US side.
