Hotel Concierge Guide: Booking Niagara Transfers for Your Guests

For a Niagara hotel desk, a guest's transfer is part of the stay. This playbook covers what to collect, how to book, what to tell the guest and how changes work, so the car is at the door and nobody has to call twice.

A guest walks up to your desk at 9 p.m. and says their flight leaves Pearson at 7:40 tomorrow morning. Another emails from London asking how to get from Buffalo to your hotel in Fallsview with two children. A third wants a car to a winery dinner in Niagara-on-the-Lake and back. Hotel concierge transportation booking is mostly about gathering the right details quickly and passing them on accurately.

This guide is written for front-desk, guest services and concierge teams at hotels across the Niagara region who book cars with NiagaraFallsLimo.net. It is practical rather than promotional: what to ask, what to type, what to tell the guest, and where the common mistakes happen.

What is the easiest way for a hotel concierge to book Niagara transportation for guests?

Collect the guest's flight or train number, party size, bags and seat needs, then enter them in NiagaraFallsLimo.net's online booker. It shows a fixed all-in fare before payment and emails the confirmation. Fallsview to Toronto Pearson is about 120 km (75 mi), usually 1 h 20 – 1 h 40 off-peak.

Everything else in this guide supports that one sequence: ask well, book once, confirm in writing.

Hotel concierge transportation booking: six things to collect first

Most failed transfers trace back to one missing fact. Ask for these before you start:

  1. The guest's full name as it should appear on the name board.
  2. Flight or train number and date. The chauffeur tracks airport and train arrivals, so the number matters more than the scheduled time.
  3. Exact passenger count, including infants. Children of every age count as passengers.
  4. Bags, in plain numbers. "Two large, two carry-on, one stroller" prevents a sedan arriving for an SUV's worth of luggage.
  5. Child seats. Infant, toddler or booster, and how many.
  6. Documents, if the route crosses the border. Every passenger needs their own valid documents.

The three mistakes we see most often from busy desks: booking the flight's departure time as the pickup time, counting a baby in arms as "no passenger", and choosing a sedan for a family whose luggage needs an SUV. Read the details back to the guest before you press pay.

Add anything unusual: a wheelchair, a trained service animal, a request for discretion, a second stop. Those are all booker options or notes, and a sentence now saves a phone call at 5 a.m.

Arrivals: where your guest meets the car

Toronto Pearson (YYZ)

Pearson designates pre-arranged pickup points at Terminal 1 Door A and Terminal 3 Door A (Toronto Pearson pre-arranged services). With meet & greet added, the chauffeur waits inside arrivals with a name board; without it, the guest goes to the designated door. Pearson to the Fallsview district is about 120 km (75 mi), usually 1 h 20 – 1 h 40 off-peak, with 2 h or more on summer Fridays. Our Toronto Pearson transfer page has terminal details.

Buffalo Niagara (BUF)

Buffalo is closer, about 43 km (27 mi) to Fallsview by our route planner, but the trip includes a bridge crossing into Canada. Buffalo Niagara International publishes a page on ground transportation to Canada (BUF Canadian ground transportation). Tell guests that their crossing time cannot be predicted and depends on the inspection queue. See our Buffalo Niagara airport page.

Hamilton (YHM) and the train station

John C. Munro Hamilton International is about 90 km from the Falls. Guests arriving by VIA Rail, GO or Amtrak's Maple Leaf come into the station at 4267 Bridge Street, roughly 4 km from the brink; our train station transfers cover those pickups, with train arrivals tracked.

Book a guest's arrival

Departures: working back from the flight

For a departure, the question is not "how long is the drive" but "when must the guest leave your lobby". Work backwards:

  • Start with the airline's own check-in and bag-drop advice for that flight.
  • Add the drive: about 1 h 20 – 1 h 40 from Fallsview to Pearson off-peak, more in the weekday morning rush through Burlington and Mississauga, and 2 h or more on a busy Friday.
  • Add a buffer for weather in winter, when lake-effect snow can slow the QEW.
  • For Buffalo departures, add the border inspection, which no one can time in advance.

Enter the pickup time you settle on, not the flight time. The chauffeur arrives before it; the guest should be in the lobby at the booked time with bags ready.

Cross-border guests: what to say and what not to promise

Cross-border transfers are normal service; the chauffeur drives across the bridge with the guest. What the desk should communicate is simple:

  • Every passenger, including children, needs their own valid documents for the country they are entering.
  • Canadians and US citizens should carry a passport, a NEXUS card or another accepted document; visitors from other countries need their passport and any visa or electronic authorisation, and Visa Waiver travellers need an approved ESTA before reaching a US land border.
  • Never quote a crossing time. Wait times vary hour to hour.

Point guests to our pages on documents for entering Canada and documents for entering the USA. Canada's official travel advice for the United States is on travel.gc.ca.

Guest communication: a message you can adapt

Hotels that send a short written note find fewer missed connections. Something like:

Your car to Toronto Pearson is booked for 05:30 tomorrow from our main entrance. Your chauffeur from NiagaraFallsLimo.net will meet you in the lobby. The vehicle is a Standard SUV for four passengers and four bags, with one booster seat. Your confirmation has also been emailed to you.

For arrivals, add where to find the chauffeur (inside arrivals with a name board, or the designated door) and remind the guest to keep their phone on after landing.

Changes, cancellations and no-shows

The cancellation policy is counted from the scheduled pickup time, and it is worth stating to guests exactly:

  • More than 72 hours' notice: no charge.
  • 72 hours or less: 10%.
  • 48 hours or less: 50%.
  • 24 hours or less, or a no-show: 100%.

Proms, long weekends and large weddings may carry a different deadline, which is printed on the confirmation. Flight delays are handled by tracking, so a late inbound flight is not a no-show. The policy is explained in plain language in our post on cancellation policies for Niagara limo bookings.

Special requests in a concierge transportation booking

  • Child, toddler and booster seats, installed before pickup.
  • Wheelchair option, described on our accessible transportation page.
  • Trained service animals, always welcome.
  • Meet & greet inside arrivals, explained on our meet and greet service page.
  • Discretion. Chauffeurs are discreet and NDAs are available on request. A VIP security add-on exists in the booker for guests who need it; we work alongside a client's own team and are not a security company.
  • A sealed bottle as a gift to take away. Nobody drinks in our vehicles.

Our honest view: for a ten-minute ride to dinner on Clifton Hill, calling a local taxi is perfectly reasonable. For anything with a flight, a border, car seats or a fixed time, a pre-booked car with a confirmed vehicle and driver is the safer recommendation for a hotel to make, because the hotel's name is attached to it. Our guide to booking a limo lays out the same logic for guests.

Booking it with NiagaraFallsLimo.net in 3 steps

  1. Pickup and drop-off. Enter your hotel's address and the airport terminal, station or winery, with date, time and the flight or train number.
  2. Vehicle. Choose from Standard Sedan, Mercedes-Benz E or S-Class, Standard or Executive Black SUV, Executive Sprinter and the rest of the fleet; each shows a fixed fare. Our fleet page lists capacities.
  3. Guest details and payment. Passengers, bags, seats, meet & greet and notes, then secure payment through the booker. The confirmation arrives by email.

Properties that book often can discuss arrangements on our hotel partnerships page; the sister post on hotels partnering with a chauffeur service explains what that can look like.

Who this playbook suits

Individual travellers need the least: a sedan, a name and a time. Couples often book the airport legs plus one evening out, which is easy to set up as two bookings. Families need the most care with seats and bags, so ask twice. Groups such as wedding parties or conference delegations may need an Executive Sprinter for up to 12 with carry-on bags, or a coach on request; our groups page covers larger parties. Front-desk teams in Fallsview can also keep our Fallsview hotels guide to hand for driveway notes.

Frequently asked questions

Can a hotel book a car for a guest who has not arrived yet?

Yes. Enter the guest's name, flight number and arrival details in the booker. The chauffeur tracks the flight, so a delay does not cause a missed pickup. Add meet & greet if the guest should be met inside arrivals with a name board.

Where do pre-arranged cars pick up at Toronto Pearson?

Pearson designates Terminal 1 Door A and Terminal 3 Door A as pre-arranged pickup points. If meet & greet is booked, the chauffeur meets the guest inside the arrivals hall instead and walks them to the car.

How early should a guest leave a Fallsview hotel for a Pearson flight?

Allow about 1 h 20 – 1 h 40 for the drive off-peak, more in weekday rush hours, on summer Fridays and in snow. Add that to the airline's check-in advice and a weather buffer, then book the pickup for the resulting time, not the flight time.

Can the chauffeur take guests across the border to Buffalo airport?

Yes, cross-border trips are normal service and the chauffeur drives the guest over the bridge. Every passenger must carry their own valid documents. Nobody can promise a crossing time, so build in extra margin for flights out of Buffalo.

What happens if the guest cancels?

The policy runs from the scheduled pickup: more than 72 hours' notice is free, 72 hours or less is 10%, 48 hours or less 50%, and 24 hours or less or a no-show 100%. Some peak dates carry a different deadline, printed on the confirmation.

Can we request a specific vehicle model?

You choose a vehicle class, such as Executive Black SUV (Escalade or Navigator), and the model is confirmed at booking as that car or similar. Mercedes-Maybach, Rolls-Royce, stretch limousines and the party bus are subject to availability, confirmed when you book.

Does the hotel see the price before booking?

Yes. The booker shows the fixed all-in fare for the exact pickup, drop-off and vehicle before payment. There is no meter and no surge, so the figure the desk sees is what the guest pays.

Can we book a chauffeur for a guest's winery afternoon?

Yes. Choose "By the hour" in the booker, set the start time at your hotel and add the wineries as notes or stops. The chauffeur waits between tastings and drives the guest back. Nobody drinks in the vehicle, but bottles bought at the cellar door travel home sealed in the boot.
