A limo cancellation policy is easiest to understand with a clock in front of you. Ours is short, it is the same for every vehicle unless your confirmation says otherwise, and every window is counted from one moment: the scheduled pickup. This guide sets out the rule at NiagaraFallsLimo.net, works through an example hour by hour, and then covers the situations people actually call about, from January snow to a passport left at home.
What is the cancellation policy for a Niagara limo booking?
NiagaraFallsLimo.net cancellations are counted from the scheduled pickup: more than 72 hours' notice is free, 72 hours or less costs 10%, 48 hours or less 50%, and 24 hours or less or a no-show 100%. It applies equally to a Pearson to Niagara Falls transfer of about 122 km. Book online; changes go through the 24/7 desk.
Proms, long weekends and big weddings may carry a different deadline, and when they do it is printed on your confirmation. If nothing different is printed, the four windows above are the rule.
The four windows in one table
| Notice before scheduled pickup | Cancellation charge |
|---|---|
| More than 72 hours | No charge |
| 72 hours or less | 10% |
| 48 hours or less | 50% |
| 24 hours or less, or no-show | 100% |
Two words in that table carry the weight. "Scheduled" means the pickup time on your confirmation, not the time you booked and not the time the flight was due to land. "No-show" means the car arrived and nobody came, without the desk being told; it is treated the same as cancelling inside 24 hours.
A worked example: counting back from Saturday at 6 p.m.
Say your chauffeur is booked to collect you at a Fallsview hotel at 6:00 p.m. on a Saturday for an evening in Niagara-on-the-Lake.
- Cancel on Wednesday at 5:00 p.m. That is 73 hours before pickup, more than 72. No charge.
- Cancel on Wednesday at 7:00 p.m. That is 71 hours before pickup. You are inside 72 hours: 10%.
- Cancel on Thursday at 7:00 p.m. 47 hours before pickup, inside 48: 50%.
- Cancel on Friday at 7:00 p.m. 23 hours before pickup, inside 24: 100%.
Notice how quickly the lines arrive on a weekend booking. The "midweek" decision about a Saturday plan is the one that matters. If you are unsure whether a trip will go ahead, decide before the 72-hour line, or ask the desk about moving the date rather than cancelling outright.
The same counting applies to every booking mode. On an hourly booking, the scheduled pickup is the start of your booked block. On a return trip, it is the first pickup on the confirmation. For an early-morning airport run, remember that the 24-hour line falls the previous morning: a 5:00 a.m. Tuesday pickup to Toronto Pearson, about 122 km away, is inside 24 hours from 5:00 a.m. on Monday.
Why the clock counts from pickup, not from booking
The windows run from the pickup because that is when the cost of a cancellation becomes real. The closer a booking gets, the less chance there is of placing that vehicle and chauffeur on another trip. A Saturday-evening stretch limousine cancelled four days out can usually be rebooked; the same car cancelled at lunchtime on Saturday cannot. The windows simply follow that reality: the earlier you tell us, the less it costs.
Dates with a different deadline
Three kinds of booking can have their own cancellation terms, always printed on the confirmation:
- Proms. Prom dates cluster on a few weekends and vehicles are booked months ahead. See our prom limo page for planning.
- Long weekends. Victoria Day, Canada Day, the August Civic Holiday and Thanksgiving weekends fill quickly in Niagara, and the Canada Border Services Agency names holiday long weekends as the busiest border periods.
- Big weddings. Multi-vehicle wedding days reserve several cars and chauffeurs for hours. Our wedding limo service explains how we plan them.
If you are booking one of these, read the confirmation email when it arrives and keep it. The deadline on it is the one that applies.

Weather: snow, freezing rain and the forecast
Niagara winters bring lake-effect snow, freezing rain and the occasional whiteout on the QEW. A forecast on its own is not a cancellation; most winter days are drivable with care and extra time. When the weather is genuinely bad, the useful step is to call the reservations desk early. Moving a pickup by a few hours is usually easier than cancelling, and it keeps you on the right side of the notice windows.
Two official sources are worth checking the night before a winter trip: the Government of Canada's weather forecasts and warnings for the Niagara region, and Ontario 511 for highway conditions and closures. Our guide to visiting Niagara Falls in winter covers what else changes in the cold months.
Summer weather causes a different kind of change. Niagara Parks runs its Falls fireworks weather permitting, and outdoor plans such as a sunset photo stop or a dinner on a patio can be called off by rain. A cancelled show does not cancel your car, but it is a good reason to call the desk: the evening can often be rearranged around a different stop, or the pickup moved, without touching the notice windows.
Flights: delays, cancellations and diversions
A delayed flight is not a cancellation at all. Airport pickups are flight tracked, so the pickup follows the real arrival. You do not need to do anything if you entered the flight number in the booker.
A cancelled flight is different. Tell the desk as soon as the airline tells you, even if you do not yet know your new flight. The notice is counted from the scheduled pickup, so the sooner the call, the better the position. If the airline rebooks you for the next day, the simplest outcome is usually to move the pickup to the new arrival.
A diversion to another airport, say a flight bound for Buffalo Niagara that lands in Toronto, is a new trip. Call the desk; we can usually re-plan the pickup. Our Buffalo airport transfers page explains the usual BUF arrangement, about 42 km (26 mi) from the Fallsview hotels.
Border problems: the passport left at home
Every passenger must carry their own valid documents on a cross-border trip. If someone realises at the hotel that a passport is missing, the booking itself still stands, so call the desk before the car leaves rather than at the bridge. Options might include changing the route to stay on the Canadian side, or moving the time while documents are found.
Check the rules before the day, not on it. Our pages on documents for entering the US and border wait times are good starting points. Into Canada, the CBSA border wait times page shows live estimates; into the US, the accepted documents are listed on CBP's Western Hemisphere Travel Initiative page.
How to change plans without losing money
- Decide early. For a weekend booking, Wednesday is the deadline that matters for a free cancellation.
- Change before you cancel. A new time or date may solve the problem without a charge; ask the desk.
- Keep your flight number in the booking. It turns a delay into a non-event.
- Read special-date confirmations. Proms, long weekends and weddings may have their own deadline.
- Never just not turn up. A no-show is charged the same as a cancellation under 24 hours, and a quick call at least lets the chauffeur go.

Chauffeur vs rideshare vs taxi: what "cancelling" means
| Mode | Door-to-door time | Cost note | Luggage | Cancelling |
|---|---|---|---|---|
| Rideshare | Request on the day, wait for a match | Surge pricing | Depends on the car | No advance booking to cancel; the app's own rules apply once a driver accepts |
| Taxi | Rank or dispatch wait | Metered | 2 – 3 bags | Nothing to cancel, but no car is reserved for you |
| Train or bus | Fixed timetable | Published fares | You carry it | The carrier's ticket rules apply |
| Pre-booked chauffeur | Car reserved and waiting | Fixed fare via booker | By vehicle class | Free with more than 72 hours' notice; set windows after that |
Verdict: if your plans are genuinely uncertain on the day, such as a casual dinner you might skip, a taxi or rideshare carries no commitment and is the sensible choice. When the trip matters, such as a 6 a.m. flight, a wedding or a family of six with luggage, a reserved car is worth the commitment, and a clear policy with a free window more than 72 hours out is about as flexible as a reservation can be. Booking it with NiagaraFallsLimo.net in 3 steps
- Enter the trip in the online booker. Pickup, drop-off, date and time, with your flight or train number.
- Choose the vehicle. Each class shows its fixed fare before you pay.
- Add details and pay. Passengers, bags and extras, then secure payment. The confirmation email shows your scheduled pickup, which is the time every notice window is counted from. Our walkthrough of booking a Niagara Falls limo in three steps shows each screen.
Who needs to know this most
Individuals with work trips get the most from the 72-hour line: book early, cancel free if the meeting moves. Couples planning anniversaries or proposals should note the long-weekend exception. Families flying in should keep the flight number in the booking so delays never become a problem. Groups, especially proms and weddings, should read the confirmation for any special deadline and appoint one person to deal with the desk. Our post on what is included in a Niagara chauffeur booking explains the rest of the terms.
Frequently asked questions
Can I cancel a limo booking for free?
Yes, with more than 72 hours' notice before the scheduled pickup. Inside 72 hours the charge is 10%, inside 48 hours 50%, and inside 24 hours or for a no-show 100%. Proms, long weekends and big weddings may have a different deadline printed on the confirmation.
What happens if my flight is cancelled?
Contact the reservations desk as soon as the airline tells you. The notice windows are counted from the scheduled pickup, so calling early matters. If the airline rebooks you, the simplest fix is usually to move the pickup to your new arrival time.
Do you cancel for snow?
A forecast alone does not cancel a booking; most winter days are drivable with care and more time. If conditions look bad, call the desk early to move the pickup. Check Environment Canada warnings and Ontario 511 the night before a winter trip.
Is a delayed flight counted as a no-show?
No. Airport pickups are flight tracked, so the pickup follows the actual arrival time. Make sure the flight number is in your booking. A no-show applies when the car arrives at the scheduled time and nobody comes, without the desk being told.
Can I change the date instead of cancelling?
Ask the reservations desk. Moving a booking to a new time or date is often the better option, especially before the 72-hour line. The desk will confirm the new booking and tell you about any change in the fare before anything is charged.
Why do proms and weddings have different deadlines?
Those dates are in heavy demand and tie up vehicles and chauffeurs for long blocks. When a booking carries a different deadline, it is printed on your confirmation, so read it when it arrives and keep it.
Does the policy differ for cross-border trips?
No. The same windows apply. Every passenger must carry valid documents; if someone is missing a passport, call the desk before the car leaves to change the plan rather than discovering it at the bridge.
